Reserve Collection Policy
1) The Reserve Collection of the CIMC is intended to provide limited access to high-demand required materials for School of Education courses, particularly those which support the teacher training and preparation programs. Requests from instructors outside the School of Education will receive consideration only if the materials are not available from other campus libraries.
2) All reserve requests will be processed in the order received. The CIMC budget does not allow for overtime processing. A complete list of required readings should be submitted at least two weeks before classes start. Requests received less than two weeks before classes start will probably not be ready for student use by that time. Please do not expect priority treatment for delayed requests.
3) Items which the CIMC does not own will be ordered for purchase when available, if they are within the scope of the CIMC collection development budget. Requests for materials which do not fall within the CIMC Collection Development Policy will only be honored if they are requested for a course which will be taught in subsequent semesters.
4) Multiple copies of reserve materials purchased by the CIMC will be kept to a minimum, with due consideration to budget and space limitations, long- or short-term course needs, recurring course needs and priorities in collection needs. Instructors may provide personal copies of items to ensure multiple copies are available as they feel appropriate.
5) Only required readings will be placed in the reserve collection. Recommended readings, reference materials, restricted materials and entire issues of journals will remain in their original collection location in the CIMC with the title and call number indicated on the course reserve list, which is located in a binder at the Circulation Desk.
6) Journal articles/book chapters for a single course will generally be put on reserve in “reader” format with all photocopies of articles/chapters included in one binder. Instructors should provide a syllabus or table of contents for the reader along with the photocopies of the articles/chapters. The CIMC does not have the budget or staff to make photocopies of articles/chapters for instructors.
7) Upon request, photocopies of course readings can also be scanned and processed for Electronic Reserves, subject to the limitations of Fair Use. The author and title of the book/journal, copyright date and copyright holder must be provided with each chapter/article submitted. Scanned documents will be processed as PDF files, which cannot be interpreted by adaptive software. If you have students with special needs, please provide them with an original copy of the readings so they can have them processed as needed. NOTE: Course packets available for purchase at any local copy center will not be scanned for electronic reserves, but will be placed on reserve at the CIMC.
8) The CIMC is not responsible for damage or loss of any personal or departmental copies provided by instructors for reserve use.
9) Material will be placed on reserve only at the request of faculty, instructional staff and TAs. Instructors must make special arrangements with CIMC Reserve staff in order for students to add materials to course reserves.
10) Requests for reserve additions throughout the semester, such as current lecture notes, exams, and additional required readings, will be added as quickly as staff time permits. The CIMC cannot assume responsibility of such materials for immediate need, such as notes for a weekly exam sent to the CIMC that week. Requests for placing CIMC owned materials on reserve after the beginning of the semester may not be able to be honored quickly if the item is charged out to another user. Instructors are encouraged to place CIMC owned materials on reserve at the beginning of the semester in order to have the title available when needed.
11) All reserve items will be withdrawn at the end of each semester unless instructors have notified the CIMC that the materials will be needed in the subsequent semester. Instructors should contact CIMC Reserve staff to arrange to pick up personal or departmental copies at that time. Items that are not picked up by instructors will be returned via interdepartmental mail or campus trucking after the start of the following semester.
