EQUIPMENT AND MEDIA SERVICES POLICY 

A. ON-SITE AVAILABILITY OF EQUIPMENT AND SERVICES

The MERIT Library's equipment and media services are provided to serve the needs of School of Education faculty, staff and students during the library's regularly posted hours. Production facilities are provided: video dubbing and editing, laminating, and copystand photography. Please note that rooms and equipment may be temporarily unavailable when needed for MERIT workshops.

B. AVAILABILITY OF MEDIA SUPPLIES

Some supplies needed for media production are available at cost to media services clients. Transparencies and laminating film are examples of such materials. For a complete listing of supplies, clients may inquire at the circulation desk. A debit card is needed to pay for supplies purchased. Only transparencies purchased at the circulation desk or those specifically designed for copy machine use can be used with the MERIT photocopiers.

C. RESPONSIBILITY FOR QUALITY OF MEDIA PRODUCTION

The MERIT Library Media Services facility is intended as an instructional and demonstration facility for School of Education classes. Therefore, the library assumes no responsibility for damage or loss of materials or time due to the improper use of MERIT equipment. Users are encouraged to notify MERIT staff of equipment problems so that repairs or replacements of malfunctioning equipment may be made in a timely manner.

D. COPYRIGHT RESPONSIBILITY

Clients using the MERIT Library equipment and facilities assume all responsibility for following the U.S. Copyright law in their production of media materials.

E. STAFF ASSISTANCE WITH MEDIA EQUIPMENT

MERIT staff will provide group instruction and individual orientation in the use of the presentation and production equipment available in the library. As the MERIT Library is a teaching/learning facility, media services clients are expected to work independently with equipment following this initial instruction. Manuals and instructional videos are available for some types of equipment owned by the library.

Media Workshops are presented for School of Education classes at the request of School of Education faculty and staff. Workshops will provide group instruction in equipment use and media production as needed to meet the objectives of the course and insofar as the equipment and expertise of MERIT staff permit. Faculty members from other University departments and representatives from other institutions may also request workshops for their classes or groups. Workshops for non-School of Education units will be provided as time permits.

F. EQUIPMENT CIRCULATION

AUTHORIZATION
Anyone may use MERIT equipment in the library. Only School of Education faculty, staff, and students currently enrolled in a School of Education course are authorized to check-out media equipment. All users are required to fill out an equipment use agreement form each academic term.

RESERVATIONS…
• Are held until closing on the 1st day of your reservation & will be cancelled at closing.
• Are first-come, first-served (in person, on the phone, or online).
• Are not guaranteed. If there is a problem we will do our best to contact you.
• When made for the same type of equipment multiple times, you must allow 4 days in between loans.
• May be made for up to half of any available type of equipment
(ie, if we have 6 camcorders, 3 may be reserved).


LOAN PERIODS…
• Are 4 days long (3 nights). They could be shorter.
• You may request 2 extended loans per semester. Extended loans may not exceed 10 days.
• You may renew equipment once, if it’s available.
• You may not renew extended items & you may not extend renewed items.
• Equipment cannot be renewed using MadCat.


DUE DATES…
• Equipment that is not returned to MERIT Library by 1 hour prior to closing on the date it is due, is overdue.
• You are responsible for knowing the MERIT Libraryclosing times & due dates.
• You may check equipment due dates on MadCat using My MadCat Account,
• You may check MERIT hours at http://cimc.education.wisc.edu or   608-263-4750       .
• If you are unable to return equipment by closing on the date it is due, contact MERIT at               608-263-4750       . If we are not open, please leave a message.
• Patrons with severely overdue equipment (> 5 days) are subject to having their borrowing
privileges revoked. UW Police and/or the Dean of Students may be contacted.


OVERDUE FINES…
• Overdue fines are $20 per day per piece of equipment.


MISSING PARTS…
• Equipment is only considered returned once all parts have been returned.
• We double-check and double-discharge all equipment between check-outs.
• We strongly encourage borrowers to double-check equipment before leaving the MERIT Library.
Once the equipment has left the library, you will be held responsible for any missing parts.
• You agree to accept financial responsibility for the replacement of any missing parts and a processing fee of $10.


GENERAL REMINDERS
• MERIT is not responsible for any damaged or lost data incurred while using our equipment.
• You are expected to adhere to UW-Madison Information Technology Appropriate Use Guidelines, available at http://www.doit.wisc.edu/security/policies/appropriate_use.asp
• MERIT does not charge equipment batteries.
• You are asked to return equipment with fully charged batteries.
• If you are using this equipment in PreK-12 schools, please protect the privacy of those individuals when using and/or storing any of the images or footage
• You agree to report any and all problems with the equipment.
• You agree to accept responsibility for loss, theft, damage, and/or replacement of the equipment or equipment parts.
• Patrons who violate these policies are subject to having their MERIT equipment borrowing privileges suspended or revoked.

 

G. MICROFICHE READER CIRCULATION

Anyone using a valid U.W.-Madison I.D or GLS Borrowers Card may check out a portable microfiche reader. No renewals are allowed. An overdue charge of $20.00 per day will be assessed. Microfiche readers are available on a first-come, first-serve basis.

H. MEDIA EQUIPMENT CIRCULATION FOR SCHOOL OF EDUCATION FACULTY

In addition to the items listed in G & H above, School of Education faculty and staff may also borrow computer / video projection units at the Circulation/Media Desk. The circulation period for these items will normally be three days. Extensions may be requested from the Access Services Librarian or the Director.

I. AFTER HOURS USE OF MEDIA EQUIPMENT

MERIT Library Media Services and equipment may be used within the libra by School of Education classes when the library is not scheduled to be open. The following conditions must be met:

1. The course content necessitates the use of MERIT equipment for that particular class session.

2. The MERIT director or Access Services Librarian is notified of the need a minimum of two weeks prior to the date needed.

3. MERIT staff are present during the time the class is meeting within the library nd assume responsibility for the maintenance of the facility. Regular MERIT services will not generally be available.

4. When the above conditions are met, each School of Education class may meet in the MERIT Library after regularly posted hours one time each semester or summer session.
